Staff Onboarding at UCASU

 

Firstly - Welcome to UCASU! 

 

There are a few things you need to do to get started as a Bar/Events/Casual & Permanent Staff Member at UCASU:

 

1) FORM: complete the New Starter Form below, this sends your information to payroll. 

 

2) RIGHT TO WORK: you must prove your right to work in the UK. Please either pop in with a copy of your passport or email a scanned version to finance.su@uca.ac.uk. 

 

N.B. For International Students you can use the Governments ‘Right to Work’ system: https://www.gov.uk/prove-right-to-work. Here you can create a code and share that with the Finance Team who can check your Right to Work digitally. 

 

3) LOG YOUR TIME (HOURLY PAID STAFF ONLY): the Union uses Square to manage time. Your manager will add you to Square (please ask if you don't know who this is). You must then clock in and out to show your hours worked. This will be what you get paid - so it is very important you do it correctly. You can also advise of your availability here also. 

 

N.B. Once you are enrolled in Payroll, you will receive an email from Xero. Accept the invite, then download the Xero Me app where you can view all your payslips. 

 

FREQUENTLY ASKED QUESTIONS

I don’t have a National Insurance Number, what do I do? 

The lack of an NI number will not prevent you from being paid. We will need you to complete the rest of your personal details accurately as HMRC will use these to confirm the NI number with us. When we include an employee on our submission to HMRC without an NI number completed this will automatically start the HMRC process for NI number verification. Once they confirm the identity of the employee they will send a NINO verification message to us. We will, however, need proof of your right to work as a priority in this situation.
