If you're a student looking to fundraise through an event or activity at Glasshouse, please read and follow these guidelines to ensure your event runs smoothly and meets all UCASU protocols.
Event Planning & Approval
Before proceeding, you must:
- Submit an Event Proposal to the UCASU Events Manager with full details of your planned fundraiser.
- Include your
- Event concept
- Preferred date and time (weekdays or Saturdays)
- Anticipated number of attendees (maximum capacity is 600)
- Proposals must be submitted at least six weeks before your preffered fundraising date.
- Do not advertise or sell tickets until you have recieved written communication and approval from UCASU.
Security Costs
For all fundraising events held at Glasshouse:
- Security is mandatory to maintain a safe environment for all attendees.
- The number of security staff is based on venue capacity and anticipated ticket sales.
- Minimum requirement: You must cover the cost of at least two (2) security staff, regardless of ticket sales.
- Additional staff may be required depending on the event type, risk assessment, or audience profile.
Tip: The earlier you begin planning, the easier it is to manage these costs effectively.
Ticketing and Budgeting
- All ticketing must go through UCASU-approved platforms, primarily Native (UCA Students' Union).
- Tickets must be priced to fully cover security and operational costs.
- Recommended ticket prices: £3-£4.
- Important: VAT and booking fees are deducted from the total by the Government and Native. These fees do not go to UCASU.
- Ensure your pricing reflects these deductions when budgeting.
Fund Allocation
- Funds must go toward a UCASU club or society, study-related activity, or a registered UK charity.
- Charities must be approved by both UCASU and UCA before the event.
- After the event, UCASU will submit a financial breakdown, including:
- Total income vs. expenses
- Revenue from pre-sales (via Native)
- Revenue from on-the-door (OTD) ticket sales
Poster and Promotion Responsibilities
- While UCASU can offer support with poster design, the event promoter is primarily responsible for creating and supplying promotional materials.
- Posters must be provided in multiple formats (e.g. A1 PDF poster, Native banner, Instagram Story, 4:5 aspect ratio social media post).
- Once your event is approved, you will recieve specific branding and formatting guidelines.
- All promotional contnt must be approved before being shared or printed.
Final Notes
- UCASU reserves the right to cancel or postpone events that do not meet policy, safety, or attendance requirements.
- If fewer than 50 tickets are sold one week before the event, it will be cancelled due to inability to cover operational costs.
- A final decision may be made up to 24 hours before the event, to allow for appropriate staff notification.
- Tickets will go live as soon as the event and pricing ar approved.
