Venue Policy

Entry Requirements

  • You must bring valid physical proof of age (photographic ID) :
    • Driving Licence
    • Passport
    • Proof of Age Standard Scheme (PASS) card
  • Must be 18 years of age or older.
  • You must also bring your UCA Student Card
  • Any UCA student who does not have a student ID must follow the guest signing in procedure, they will be treated as a guest.
  • The last entry for every event is 90 minutes before the event finishes.
  • Upon entry, you will not be allowed to return if you decide to leave the venue or are ejected.
  • We have the right to refuse entry to any person and do not have to provide a reason.

Ticket Sales
  • The primary source of ticket sales will be via our online ticketing platform at: UCASU.COM/GLASSHOUSE
  • Where capacity permits, tickets will be available at the door.
  • When the venue reaches the capacity for the event, the door policy becomes ‘one out’, ‘one in’.
  • Tickets to events are non-refundable.
  • You can utilise the swap ticket function within Native if you cannot make an event. This does not guarantee that your ticket will be swapped.
  • There may be booking fees on some tickets. This will be clearly defined.

Guest Entry
  • Guest tickets can only be purchased by a current UCA student, at our online ticketing platform. There are no on the door tickets for guests.
  • If you have purchased or are purchasing tickets for a guest, they also need valid physical proof of age (photographic ID), and you will need to provide their full name at the point of check-out when purchasing an online ticket, you are then responsible for them and their behaviour on the night. Please refer to our guest policy for the full policy.

Searches
  • To attend an event and enter the venue, you consent to your bags and/or personal belongings being searched by security staff. If you object to a search, we will reserve the right to refuse entry to the venue.
  • There may be occasions if so deemed necessary, for security staff to conduct pat-downs on all students and guests. By entering the venue, you consent to a pat-down by security staff. If you object to this, we reserve the right to refuse entry to the venue.

Right to Refuse Entry
  • We have the right to refuse bar service and do not need to provide a reason for refusal.
Exclusion from Glasshouse
  • You will be ejected and subjected to banning orders and/or disciplinary procedures for:
    • Bringing alcohol or illegal drugs into the venue
    • Vaping or smoking in the Venue
    • Drunkenness or under the influence of drugs
    • Gaining or attempting to gain entry to the venue without a ticket or wristband
    • Tampering with security barriers
    • Causing damage or defacement to the venue
    • Tampering with fire exits unless prompted by alarm or security staff
    • Being rude or abusive toward staff or other event attendees
    • Behaviour including and not limited to acting in a manner deemed unsociable, undesirable or aggressive
  • This is not an exhaustive list, and we reserve the right to remove attendees for behaviours not listed above..

Right to Refuse Bar Service
  • We have a right to refuse bar service and do not need to provide a reason for refusal

Glasshouse Venue:
  • Official Photography: If you enter Glasshouse, you may be photographed or recorded. If you do not wish to be photographed or recorded, please speak to the venue manager.
  • CCTV CCTV is in operation in Glasshouse for everyone’s safety. The university controls this.
  • Please be mindful of residents by keeping noise levels to a minimum when leaving Glasshouse.
  • Strobe Lighting & smoke/fog machine During events, we might use strobe lighting and smoke and/or fog machine. Please check with the Bar Manager if this presents any concerns.

 

 

Guest Policy

Signing-in Process

  • Guest tickets can only be purchased via our online ticketing platform at: UCASU.COM/GLASSHOUSE and must be bought before 6PM on the night of the event.
  • Guest tickets can only be purchased by a current UCA student, at our online ticketing platform. There are no on the door tickets for guests
  • 1 guest per UCA student.
  • Guest tickets can only be purchased online alongside a UCA student ticket
  • When purchasing a guest ticket via our online site, guest details must be provided during checkout where prompted.
  • On the night of the event, your guest must be with you when you come to the Box Office. You must bring your Student ID, otherwise you and your guest will be denied entry.
  • Any UCA student who does not have student ID must follow the guest signing in procedure, they will be treated as a guest

Guest Entry ID

Guest Ticket Prices
  • Guests will be charged an additional £1 on top of the price for a ticket on a regular Glasshouse night.
  • Guests will be charged an additional £2 for specialist nights/major events including Halloween and Summer Balls.
  • There may be booking fees on some tickets. This will be clearly defined.

Responsibility for your Guest
  • If you have signed-in a guest to any Glasshouse event, you are responsible for them. This means that any guest infringement of the Venue Policy, Student Code of Conduct or any other UCA/UCASU-related policy could result in ejection from Glasshouse and further disciplinary procedures. .

 

 

Student Fundraiser Policy

If you're a student looking to fundraise through an event or activity at Glasshouse, please read and follow these guidelines to ensure your event runs smoothly and meets all UCASU protocols.


Event Planning & Approval

Before proceeding, you must:

  • Submit an Event Proposal to the UCASU Events Manager with full details of your planned fundraiser.
  • Include your
    • Event concept
    • Preferred date and time (weekdays or Saturdays)
    • Anticipated number of attendees (maximum capacity is 600)
  • Proposals must be submitted at least six weeks before your preffered fundraising date.
  • Do not advertise or sell tickets until you have recieved written communication and approval from UCASU.

Security Costs

For all fundraising events held at Glasshouse:

  • Security is mandatory to maintain a safe environment for all attendees.
  • The number of security staff is based on venue capacity and anticipated ticket sales.
  • Minimum requirement: You must cover the cost of at least two (2) security staff, regardless of ticket sales.
  • Additional staff may be required depending on the event type, risk assessment, or audience profile.

Tip: The earlier you begin planning, the easier it is to manage these costs effectively.


Ticketing and Budgeting

  • All ticketing must go through UCASU-approved platforms, primarily Native (UCA Students' Union).
  • Tickets must be priced to fully cover security and operational costs.
  • Recommended ticket prices: £3-£4.
  • Important: VAT and booking fees are deducted from the total by the Government and Native. These fees do not go to UCASU.
  • Ensure your pricing reflects these deductions when budgeting.

Fund Allocation

  • Funds must go toward a UCASU club or society, study-related activity, or a registered UK charity.
  • Charities must be approved by both UCASU and UCA before the event.
  • After the event, UCASU will submit a financial breakdown, including:
    • Total income vs. expenses
    • Revenue from pre-sales (via Native)
    • Revenue from on-the-door (OTD) ticket sales

Poster and Promotion Responsibilities

  • While UCASU can offer support with poster design, the event promoter is primarily responsible for creating and supplying promotional materials.
  • Posters must be provided in multiple formats (e.g. A1 PDF poster, Native banner, Instagram Story, 4:5 aspect ratio social media post).
  • Once your event is approved, you will recieve specific branding and formatting guidelines.
  • All promotional contnt must be approved before being shared or printed.

Final Notes

  • UCASU reserves the right to cancel or postpone events that do not meet policy, safety, or attendance requirements.
  • If fewer than 50 tickets are sold one week before the event, it will be cancelled due to inability to cover operational costs.
  • A final decision may be made up to 24 hours before the event, to allow for appropriate staff notification.
  • Tickets will go live as soon as the event and pricing ar approved.
